Operational Volunteers - The Heart of our Foundation

THCF is a volunteer-driven, entrepreneurial, and growing organization that is successful because of its operational volunteers. These volunteers run the entire organization - everything from administrative duties, to marketing and community outreach and to executive positions, including the Board and Advisory Committee. Our Foundation currently consists of 50 operational volunteers and we are expanding to double that number within the next year to support our Foundation's provincial role.

If chosen to volunteer with our Foundation, we are confident you would find volunteering with us to be both challenging and rewarding. Much of your volunteer activity would be from home, but you would be required to attend monthly team meetings and the all-staff Quarterly Round Table Discussions in January, April, July, and October. Typically we ask for a commitment of five hours per week as a volunteer and expect that you will act as a volunteer for at least twelve months. However, each volunteer position is unique and may require more or less time than the standard 5 hours per week. The Foundation expects its volunteers to participate in The Healing Cycle Ride either as a cyclist or as an event volunteer. We ask all volunteers to encourage others to either join the annual Healing Cycle Ride as a participant or as an event volunteer.

Corporate Relation (Sales) Manager

The Corporate Relations (Sales) Manager actively researches and seeks out potential corporate sponsorship partners (small to medium-size companies, entrepreneurial and excited about working with an entrepreneurial foundation).

The successful volunteer will have a strong background in sales, marketing, and promotions, and will be comfortable working in a corporate environment.

Reporting to the Corporate Sales Director, the successful volunteer will help build a corporate strategy to increase the number of corporate sponsors (and corporate teams) working with THCF. Duties include, but are not limited to, the following:

  • providing consistent, timely, high-quality communications with prospective donors on behalf of THCF,
  • protecting and enhancing the external reputation of THCF and support operational effectiveness,
  • supporting THCF through alignment with the overall marketing and communications strategy, and
  • developing communications that are high quality, coherent and consistent.

Additional qualifications include, but are not limited to, the following:

  • a degree or diploma from a post-secondary marketing and public relations program, or equivalent experience in developing and implementing sales plans
  • strong and proven sales experience is a must
  • solid work ethic, planning, organizing, and co-ordination skills
  • a proven track record of developing and implementing a corporate communications strategy
  • a proven track record of building and maintaining relationships at a senior level
  • proven organizational skills, sound judgment, and an ability to prioritize multiple projects
  • a self-starter, who takes initiative, thrives on challenges, and accepts ownership over job responsibilities
  • experience in the public or private health services sector would be an asset
  • availability to work flexible hours is required

Donor Stewardship Manager

Reporting to the Development Director, the Donor Stewardship Manager is responsible for finding and encouraging individuals to give major gift donations to THCF.

Duties include, but are not limited to, the following:

  • designing, implementing, and managing the cultivation, stewardship, and recognition programs in support of the fund-raising goals established by the Development Director,
  • creating, planning, and executing the cultivation and stewardship programs to extend the reach of THCF, and
  • establishing and managing an information-tracking process regarding acknowledgement, recognition, on-going communication and relationship-building, and continued cultivation of past and current major donors to enhance their relationship with THCF and increase the likelihood of continued contributions.

The successful volunteer will be outgoing, personable, with the confidence and ability to reach out to contacts both within, and external to, THCF to build a database of names of potential donors. The volunteer will have the ability to assess potential donors, understand their motivation to give and their need to be recognized for their contributions, and build relationships with them. These donors would have significant funds to potentially give to THCF (donation level of $10,000 and higher).

Risk Manager

The Risk Manager is responsible for all risk management as it applies to THCF, sits on the Management Committee and reports to the President and CEO.

The Risk Manager will apply business acumen, accounting skills, and risk management expertise to ensure THCF's internal controls and procedures are functional, adequate, and conform to regulatory standards, human resources policies, and industry practices.

Duties & Responsibilities

  • The Risk Manager develops and manages the controls and processes for assessing, identifying, monitoring, and reducing the risks that may affect, or interfere with, the operations of THCF.
  • The Risk Manager ensures that THCF complies with all internal policies and procedures, as well as applicable external legal and regulatory requirements.
  • S/he will co-ordinate risk reporting activities and ensure that they are correct and consistent. These reports will include operational, financial, internal, and external audit reports.
  • The Risk Manager is responsible for creating controls and processes that reduce any risk that may be associated with the Annual Ride, including but not limited to, the safety of participants and non-participants, the design and monitoring of the routes, the creation and collection of waiver, etc.

Skills & Knowledge Required

  • Degree in business administration, finance, law, or actuarial studies
  • Extensive experience in the not-for-profit sector, in a strategic role
  • Broad knowledge of insurance liability, finance, human resources
  • Comprehensive knowledge of traditional risk management principles and practice
  • Leadership and managerial skills
  • Exceptional oral, written, and interpersonal skills
  • Sound business judgment and an ability to solve problems

Hospice Outreach Advisor

The Hospice Outreach Advisor reports to the Outgoing Grants Director and is responsible for raising awareness of THCF, its outgoing grants program, and its annual fund-raising Ride through personal contact, media, and other fundraising events as yet undetermined.

Communication

The Hospice Outreach Advisor is responsible for planning, co-ordinating, and implementing promotion and communication initiatives to the Hospice Palliative Care community.

The Hospice Outreach Advisor will work with the Marketing & Communications team to develop and implement a communications plan for the Hospice Palliative Care community.

Administration

The Hospice Outreach Advisor is also responsible for managing the administration, notification, and verification of Outgoing Grants, including but not limited to:

  • responding to queries from potential recipients,
  • ensuring all applications are complete and correct,
  • working with the adjudication volunteers who assess Grant applications before they are presented to the Grant Review Committee,
  • working with the Grant Review Committee to prepare applications for review,
  • informing successful and unsuccessful applicants of the results of the Grant Review,
  • managing the administration of Grant funds, including but not limited to,
  • ensuring the applicant completes the Letter of Agreement
  • issuing the Grant payment
  • ensuring the applicant completes the Letter of Acknowledgement, stating that the Grant funds were used for the purpose originally stated.

The successful candidate will have a strong connection with the Hospice Palliative Care community, and will be comfortable making presentations to communities and organizations.

Skills Required

  • Proven organizational skills, sound judgment, and an ability to prioritize multiple projects
  • A self-starter, who takes initiative, thrives on challenges, and accepts ownership of job responsibilities
  • Experience in the public or private health services sector would be an asset
  • Availability to work flexible hours and to travel as needed
  • Fundraising experience is an asset

Grants Co-ordinator

Reporting to the Grants Manager, the Grants Co-ordinator is responsible for researching grant opportunities, and developing and managing grant applications. Duties include, but are not limited to, contacting granting agencies, preparing the required paper work, and proposing new grants in alignment with the strategic plan of The Healing Cycle Foundation ("THCF").

Grants Development

  • Authors private, regional, and national proposals
  • Produces reports specific to needs of granting agencies
  • Produces and maintains calendar of grant activity
  • Researches new funding opportunities
  • Reports all funding opportunities, awards, and denials to Grants Manager
  • Maintains, updates, and / or compiles all granting resource data, documents, reports, and materials
  • Ensures current programs and statistics are accurately represented

Foundation and Development Community Liaison

  • Coordinates meetings and site visits with granting agencies
  • Acts as liaison to development community together with Director of Development by attending local funding forums, philanthropy days, business fairs, and peer-based training opportunities

Skills Required

  • High-level business writing and time management
  • A financial background is beneficial, but is not essential.
  • Experience with not-for-profit agencies
  • Detailed-oriented
  • The ability to work independently
